UK Business Change of Address Checklist

Moving your business to a new address involves far more than shifting furniture and equipment. Miss a notification and you risk penalties from Companies House, lapsed insurance cover, missed deliveries, or confused clients. This checklist covers every organisation, authority, and platform you need to update, in the right order.

Work through each section before, during, and after your office move to make sure nothing slips through.

Before You Move: The Legal Obligations

Get these done first. They carry deadlines and penalties.

Companies House

  • Update your registered office address at Companies House within 14 days of the change (legal requirement for limited companies)

  • Update your SAIL (Single Alternative Inspection Location) address if applicable

  • Confirm the new address appears correctly on the Companies Register

  • Update the details of all directors if their service addresses are affected

You can update your registered address via the Companies House WebFiling service or by filing form AD01. Missing the 14-day window can result in a formal warning and a fine.

HMRC

  • Notify HMRC of your new business address through your online tax account or by post

  • Update your VAT registration address (if VAT registered) via the HMRC VAT online portal

  • Update your PAYE employer address if you run payroll

  • Update your Corporation Tax correspondence address

  • Update your Self Assessment address if you are a sole trader or partnership

  • Confirm HMRC has acknowledged the change before your first filing deadline at the new address

HMRC will not automatically update your address across all tax registrations. Each one may need a separate notification.

Banks and Financial Institutions

  • Notify your business bank and update account records

  • Update the address on all business credit cards and charge cards

  • Notify any lenders or finance providers covering equipment, vehicles, or business loans

  • Update your address with any merchant services or card payment providers

  • Notify your pension provider if the business contributes to employee pensions

  • Update any investment or savings accounts held in the company name

Most banks require written confirmation or a branch visit for registered address changes. Allow 5 to 10 working days before you need documents sent to the new address.

Insurance Providers

  • Notify your business contents insurance provider of the new address and premises details

  • Notify your public liability insurance provider

  • Notify your employers liability insurance provider

  • Notify your professional indemnity insurance provider

  • Notify your commercial vehicle insurance provider

  • Confirm your cover is valid from the date of the move at the new location

  • Obtain written confirmation that your policy has been updated

  • Check whether the new premises require any additional cover based on size, location, or security setup

Your existing insurance policy may be invalidated if your insurer is not notified before the move. Do not wait until after moving day. Every commercial removal we carry out includes goods-in-transit and public liability insurance as standard.

Clients, Suppliers, and Partners

Clients and Customers

  • Send a direct email or letter to all active clients at least four weeks before the move

  • Include the new address, effective date, and confirmation there will be no disruption to service

  • Update your email signature with the new address

  • Update all client-facing documents including proposals, contracts, invoices, and letterheads

  • Update your website contact page, footer, and About page

  • Update any client portals or account systems that display your address

  • Post a social media announcement with the new location and move date

  • Add a banner or notice to your website homepage during the transition period

Suppliers and Service Providers

  • Notify all regular suppliers of the new delivery address

  • Update billing addresses with all suppliers to avoid invoices going to the old location

  • Notify your IT support or managed service provider

  • Notify your cleaning and facilities management company

  • Notify your waste collection and recycling provider

  • Notify your security company and update any alarm registration details

  • Notify your franking machine provider and update postage settings

  • Notify any couriers or delivery accounts (DHL, DPD, UPS, Royal Mail business accounts)

  • Update your address with any software subscriptions where it appears on billing or contracts

  • If you use a professional packing service for the move, confirm the new delivery address and access details with them in advance

Utilities

Getting utilities live before move day prevents downtime from day one.

  • Contact your electricity supplier and arrange a supply transfer or new connection at the new address

  • Contact your gas supplier if applicable

  • Contact your water supplier for commercial accounts

  • Arrange broadband and telephone lines at the new office well in advance (lead times can be four to six weeks)

  • Confirm installation dates with your IT team or telecoms provider before committing to a move date

  • Take final meter readings at your old premises on the day you leave

  • Take opening meter readings at the new premises on your first day

  • Cancel or transfer any existing utility direct debits to the new address

  • Notify your business energy broker if you use one

Staff Communications

  • Announce the move to all staff as early as possible with a confirmed move date

  • Share the new address, postcode, and transport links in writing

  • Address any changes to commuting routes, parking, and travel costs

  • Confirm whether any changes to working arrangements apply during or after the move

  • Update HR records with the new office address

  • Update any employment contracts or staff handbooks that reference the old address

  • Brief your team on move day roles covering who is responsible for what, when, and where

  • Confirm who has keys, access codes, and alarm details for the new premises

  • Update company-issued documents that display the office address

Royal Mail and Post

  • Set up a Royal Mail business redirection from your old address to the new one (allow at least five working days to set up)

  • Choose a redirection period of at least six months to catch slow-updating contacts

  • Inform regular senders directly rather than relying on redirection for critical correspondence

  • Notify any PO box services or mailroom providers

Council and Business Rates

  • Notify the local council at your old address that you are vacating the premises

  • Register for business rates at your new council if you are moving to a different local authority area

  • Check whether your new premises qualify for Small Business Rate Relief

  • Confirm the rateable value of your new premises and budget accordingly

  • Cancel any existing direct debits for business rates at the old address only once the final bill is settled

Online Presence and Directories

Search engines and directories will continue sending customers to your old address until you update them.

  • Update your Google Business Profile with the new address (changes typically go live within 3 days but may require re-verification)

  • Update your Bing Places listing

  • Update your Apple Maps listing

  • Update your LinkedIn company page

  • Update your Facebook business page

  • Update any industry directories or trade association listings

  • Update Yell, Thomson Local, and any other local business directories

  • Update any paid advertising accounts where the address appears in ad copy or extensions

  • Update your website footer, contact page, and schema markup

Internal Systems and Records

  • Update your CRM system with the new company address

  • Update your accounting software (Xero, QuickBooks, Sage) with the new address on invoices and quotes

  • Update all document templates including quotes, proposals, contracts, invoices, and letterheads

  • Update your company email footer across all staff accounts

  • Update your internal intranet or staff portal if the address is displayed

  • Update any printed materials you have in stock or on order

  • Review any regulatory registrations that include your address (ICO data protection registration, sector licences, trade body memberships)

Move Day Checklist

  • Confirm arrival and departure times with your commercial removal team

  • Ensure all boxes are clearly labelled with the destination room at the new office

  • Take photos of equipment setups before disassembly so IT and AV can be reinstated correctly

  • Complete a final walkthrough of the old premises before handing over keys

  • Confirm utilities are live at the new address before the team arrives

  • Have the new address and access codes distributed to all key staff in writing before move day

  • If you opted for a professional packing service, confirm the crew arrival time and room plan the day before

  • If you need items held between addresses, arrange self storage in advance so nothing is left without a home on the day
